At Verifia, we take your privacy seriously. This Privacy Policy explains what information we collect, how we use it, and your rights with respect to that information. By using Verifia, you agree to the practices described in this policy.

1. Information We Collect

We collect information in several ways when you use Verifia:

Account Information

When you register for Verifia, we collect your name, email address, and a password. If you sign up using a third-party authentication provider (such as Google), we receive basic profile information from that provider.

Payment Information

When you subscribe to a paid plan, payment details (credit or debit card numbers, billing address) are collected and processed by our third-party payment processor, Stripe. Verifia does not store your full payment card details on our servers. We retain only the last four digits of your card, the card type, and expiration date for display purposes.

Search Queries and Report Subjects

When you generate a report, we collect the search query or subject name you provide (e.g., an individual's name, organization name, or keywords). This information is used to generate your report and may be retained to improve our service.

Usage and Log Data

We automatically collect certain technical information when you access Verifia, including your IP address, browser type and version, operating system, referring URL, pages visited, time and date of visits, and clickstream data. We use this information to operate, improve, and secure our platform.

Communications

If you contact us by email or through our support system, we retain those communications and any information you include in them.

2. Public Data We Analyze

Verifia generates reports by aggregating and analyzing publicly available information from the open web. We do not access private accounts, use data brokers that source non-public records, or use any information obtained through unauthorized means.

Sources of public data we may analyze include:

  • Publicly accessible social media profiles and posts (e.g., X/Twitter, LinkedIn, Facebook public pages)
  • News articles, press releases, and online publications
  • Public forum posts and discussion boards (e.g., Reddit)
  • Public records and government databases accessible without authorization
  • Business filings and professional registries
  • Court records and legal filings available in the public domain
  • Publicly accessible websites, blogs, and online portfolios

Important: Verifia does not access, collect, or store private communications, non-public social media content, private medical records, financial account data of report subjects, or any data behind authentication barriers without explicit consent from the account owner.

3. How We Use Your Information

We use the information we collect for the following purposes:

  • Service Delivery: To operate Verifia, process your searches, generate reports, and deliver them to you.
  • Account Management: To create and manage your account, authenticate your identity, and handle subscription management.
  • Billing & Payments: To process payments, manage your subscription, and provide receipts and invoices.
  • Communications: To send you service-related notifications, security alerts, billing receipts, and (with your consent) product updates or promotional content.
  • Service Improvement: To understand how users interact with Verifia, diagnose technical issues, and improve our features, algorithms, and report quality.
  • Security & Fraud Prevention: To detect, investigate, and prevent fraudulent transactions, abuse, and other illegal activities.
  • Legal Compliance: To comply with applicable laws, regulations, legal processes, and government requests.

4. Data Storage & Security

Verifia stores your data on secure servers hosted by reputable cloud infrastructure providers. We implement industry-standard security measures to protect your information from unauthorized access, alteration, disclosure, or destruction, including:

  • Encryption in transit using TLS 1.2 or higher
  • Encryption at rest for sensitive data fields
  • Access controls and role-based permissions for internal systems
  • Regular security audits and vulnerability assessments
  • Secure password hashing using bcrypt or equivalent
  • Monitoring and alerting for suspicious activity

While we strive to protect your data, no method of transmission over the internet or electronic storage is 100% secure. We cannot guarantee absolute security. If you believe your account has been compromised, please contact us immediately at privacy@verifia.app.

5. Data Sharing & Disclosure

We do not sell your personal information to third parties. We may share your information in the following limited circumstances:

  • Service Providers: We share information with third-party vendors who perform services on our behalf (e.g., payment processing via Stripe, cloud hosting, analytics). These providers are contractually obligated to use your data only as directed by us.
  • Legal Requirements: We may disclose information if required by law, subpoena, court order, or other governmental authority, or if we believe disclosure is necessary to protect our rights, your safety, or the safety of others.
  • Business Transfers: In the event of a merger, acquisition, sale of assets, or bankruptcy, your information may be transferred as part of that transaction. We will notify you via email and/or a prominent notice on our website prior to any such transfer.
  • With Your Consent: We may share information with your consent or at your direction.

6. Cookies & Tracking Technologies

Verifia uses cookies and similar tracking technologies to operate and improve our service. Cookies are small text files stored on your device that help us recognize you and remember your preferences.

We use the following types of cookies:

  • Strictly Necessary Cookies: Required for the website to function. These include session authentication cookies and security cookies. You cannot opt out of these.
  • Analytics Cookies: Used to understand how visitors interact with our website (e.g., page visits, time on site). We use this data to improve our service.

8. Data Retention

We retain your personal data for as long as necessary to provide our services, comply with legal obligations, resolve disputes, and enforce our agreements. Specific retention periods include:

  • Account Data: Retained for the duration of your account. Upon account deletion, personal data is removed within 30 days (except where we are required by law to retain it longer).
  • Generated Reports: Reports you generate are stored for 12 months from the date of creation, after which they are automatically deleted. You may download and delete reports at any time from your dashboard.
  • Billing Records: Payment and transaction records are retained for 7 years as required for tax and accounting purposes.
  • Log Data: Server and access logs are retained for up to 90 days.

9. Children's Privacy

Verifia is not directed to individuals under the age of 18. We do not knowingly collect personal information from children. If you believe we have inadvertently collected information from a minor, please contact us immediately at privacy@verifia.app and we will take steps to delete that information.

10. Changes to This Policy

We may update this Privacy Policy from time to time to reflect changes in our practices, technology, or legal requirements. When we make material changes, we will notify you by:

  • Updating the “Last updated” date at the top of this page
  • Sending an email notification to the address associated with your account
  • Posting a prominent notice on the Verifia website

Your continued use of Verifia after such changes constitutes your acceptance of the updated policy.
